1. Who we are
Worksmith Marine is operated by WorksmithAI LLC, a Connecticut limited liability company based in Mystic, Connecticut ("WorksmithAI," "we," "us"). Worksmith Marine is a report-drafting service for professional marine surveyors. It includes mobile apps for iOS and Android, a web portal, and this website.
This policy covers all of those. It does not cover third-party websites or services that we link to.
2. Information we collect
Information you give us
- Account information. Your name, email address, phone number (optional), firm name, professional credentials (for example SAMS or NAMS accreditation), and password or sign-in method.
- Template and letterhead material. Prior reports, report templates, logos, letterhead, and signature blocks that you upload so Worksmith Marine can draft in your format and voice.
- Survey content. Photos, voice recordings, images of handwritten notes, typed notes, and other field captures you record in the app. This content may include vessel details, hull identification numbers, locations, and names or contact details of your clients, owners, brokers, or other people connected to the survey.
- Draft and finished reports. The reports Worksmith Marine drafts and the edits you make to them.
- Communications. Messages you send us for support, feedback, or sales.
- Waitlist and newsletter sign-ups. Name, email, and any answers you give in a sign-up form.
Information collected automatically
- Device and app data. Device model, operating system version, app version, language, time zone, and crash or error logs.
- Usage data. Features used, screens viewed, actions taken, and timestamps, so we can understand how the product is used and fix problems.
- Approximate location. Derived from your IP address. We only collect precise GPS location if you turn on a feature that uses it (for example, tagging a survey location), and you can turn it off at any time in your device settings.
- Website analytics. Standard web server logs and basic, privacy-respecting analytics on worksmithmarine.com.
Payment information
Payments are handled by third-party processors (Stripe, Apple App Store, or Google Play, depending on how you subscribe). We receive confirmation of your subscription status and a billing reference. We do not receive or store your full card number.
3. Device permissions
The mobile app asks for the following permissions. Each one is used only for the purpose described, and you can change them at any time in your device settings.
| Permission | Why we ask |
|---|---|
| Camera | To photograph the vessel, equipment, defects, and your handwritten notes during a survey. |
| Microphone | To record voice notes in the field. |
| Photo library | To let you add photos you have already taken, and optionally to save survey photos to an album on your device. |
| Notifications | To tell you when a draft report is ready or a sync has finished. |
| Location (optional) | To tag where a survey took place, if you choose to turn this on. |
4. How we use information
- To provide the service: store your captures, file them into report sections, draft reports in your template, and let you review, edit, and export them.
- To run your account: sign you in, manage your subscription, and send service messages such as receipts, security notices, and changes to terms.
- To support you: answer questions and troubleshoot problems.
- To improve the product: understand which features are used, find and fix bugs, and plan improvements.
- To keep the service safe: detect abuse, fraud, or misuse, and enforce our terms.
- To meet legal obligations.
- To send occasional product news if you have opted in. You can unsubscribe at any time.
5. How AI drafting works with your data
Your reports are not used to train AI models. Your captures, templates, and reports are used to draft your own reports and for no other customer's.
When you generate a draft, Worksmith Marine sends the relevant content (your photos, note transcriptions, and template structure) to an AI model provider through an API. We currently use Anthropic as our AI model provider. Content sent this way is processed under commercial terms that prohibit the provider from using it to train their models. Content is sent only as needed to produce your draft.
Worksmith Marine learns your writing style from your own prior reports and your own edits. That learning stays attached to your account.
AI drafts are starting points. You remain the professional of record. Every report should be reviewed, edited as needed, and signed by you before it is delivered to a client.
6. Who we share information with
We do not sell your personal information. We do not share it for cross-context behavioral advertising. We share information only in these cases:
- Service providers who help us run Worksmith Marine and are bound by contract to protect your data and use it only on our instructions. These currently include:
- Google Cloud and Firebase (hosting, authentication, file storage, databases)
- Anthropic (AI model provider for report drafting)
- Stripe (payments)
- Apple and Google (app distribution, in-app billing where used, crash reporting)
- Cloudflare (website hosting and security)
- Email and customer support tools used to communicate with you
- At your direction. For example, when you export a report, email it from the app, or share a photo album.
- Legal reasons. If required by law, subpoena, or court order, or to protect the rights, safety, or property of WorksmithAI, our users, or others.
- Business transfers. If WorksmithAI is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction. We will notify you if this happens and a different privacy policy will apply.
7. Data retention and deletion
We keep your account information and survey content for as long as your account is active, so you can return to past surveys and reports.
You can delete individual surveys, captures, and reports from within the app or web portal at any time.
Deleting your account. You can request deletion of your entire account and all associated data in two ways:
- In the app: Settings, then Account, then Delete Account.
- By email: write to support@worksmithmarine.com from the email address on your account with the subject line "Delete my account."
When you delete your account, your personal information, captures, templates, and reports are permanently removed from our active systems within 30 days, and from backups within 90 days. We may retain limited billing records as required by tax and accounting law, and anonymized usage statistics that cannot identify you.
If your subscription lapses, we keep your data for 12 months so you can reactivate without losing work. After that, we may delete it following notice to the email on your account.
8. Security
We use industry-standard safeguards to protect your information, including encryption in transit (TLS) and at rest, access controls limiting who at WorksmithAI and our vendors can reach customer data, and logging of access to production systems. No system is perfectly secure. If we learn of a breach affecting your personal information, we will notify you as required by law.
You help keep your account secure by using a strong, unique password and keeping your device locked.
9. Your rights and choices
Depending on where you live, you may have the right to access, correct, download, or delete your personal information, to object to or restrict certain processing, and to not be discriminated against for exercising these rights. We extend these choices to all Worksmith Marine users regardless of location.
- Access and correction. Most account information can be viewed and edited in the app. For anything else, email us.
- Export. You can export your reports from the app at any time. For a full copy of your account data, email us.
- Deletion. See Section 7.
- Marketing emails. Use the unsubscribe link in any marketing email. We will still send service and billing messages.
- Permissions. Change camera, microphone, photo, notification, and location access in your device settings.
To exercise any of these rights, email support@worksmithmarine.com. We will respond within 30 days. We may need to verify your identity first. If you are a California resident, you may also designate an authorized agent to make a request on your behalf.
A note on information about your clients
Survey content often includes information about third parties, such as a boat owner or buyer. In that content, you are the controller of that information and we process it on your behalf to provide the service. If a client of yours contacts us about their information, we will refer them to you or, with your permission, help you respond.
10. Children
Worksmith Marine is a professional tool for adults. It is not directed to anyone under 18, and we do not knowingly collect information from children. If you believe a child has provided us information, contact us and we will delete it.
11. Where data is stored
Worksmith Marine is operated from the United States and our servers are located in the United States. If you use the service from outside the United States, your information will be transferred to and processed in the United States, where privacy laws may differ from those in your country.
12. Changes to this policy
We may update this policy as the product and the law change. When we do, we will update the effective date at the top of this page. If a change is material, we will notify you by email or in the app before it takes effect. Continued use of the service after the change takes effect means you accept the updated policy.
